No-Call No-Show and Late Cancellation Policy

To maintain a high standard of care and ensure appointment availability for all clients, Sonder Psychiatric Services has established the following policy regarding missed appointments and late cancellations.

Definitions

  • Late Cancellation: Canceling or rescheduling an appointment less than 24 hours before the scheduled time.

  • No-Call No-Show: Failing to attend a scheduled appointment without any prior notice.

Fees

  • Late Cancellation Fee- $100.00

  • No-Call No-Show Fee:

    • No Show- Diagnostic Evaluation: $250.00

    • No Show- Follow-up visit (30-39 minutes): $185.00

    • No Show- Follow-up visit (40-60 minutes): $262.50

Notice Requirements

  • Cancellations must be made at least 24 hours in advance by calling (608) 949-2045 or sending a secure message via the patient portal.

  • Business hours are Monday through Friday, excluding holidays. Messages received after hours will be reviewed on the next business day.

Repeated Missed Appointments

  • First no-call no-show or late cancellation: A written warning will be issued, fee issued, and the policy will be reviewed with the client.

  • Second no-call no-show or repeated late cancellations: May result in termination of services at the provider’s discretion, especially if the pattern interferes with treatment progress.

Exceptions

Sonder Psychiatric Services understands that emergencies can occur. At the provider’s discretion, fees may be waived in the case of verified emergencies or extraordinary circumstances.

By receiving services at Sonder Psychiatric Services, clients agree to adhere to this policy.
